Link files to a project
Max reads a project’s files to assess its maturity and to answer questions about it. You can upload files, or link them from where they already live. Linked files are not copied: Max fetches the content when it needs it, through your own account, and stores only the reference and a short classification, described below.
Connect your account first
Section titled “Connect your account first”Linking works through your personal connection to the provider. Connect it under Profile › Connected accounts, or from the Link files menu the first time you need it. Each provider has its own guide:
- Google Drive
- Microsoft 365 (OneDrive, SharePoint and Teams files)
- Slite
- Notion
- Confluence
A colleague’s connection does not let you link. Max reads a linked file through the account of the person who linked it, so it can never see more than that person can.
Link files or folders
Section titled “Link files or folders”-
Open the project and choose the Files tab.

Click Link files and choose the provider.

Search or browse, and tick the files, folders, notes or pages to link. Already-linked items show as ticked; untick to unlink. You can also paste a link to a file or folder.

Click Save changes.
Linking a folder links everything directly inside it. New files that appear in the folder later are picked up when someone clicks Refresh on the Files tab; Scale Platform does not watch the folder in the background. Subfolders are not included.
The same Link files button on Organization settings › AI context › Organization materials links documents Max should read for every project: strategy, frameworks, process guides. Only administrators can do that.
What Max does with the files
Section titled “What Max does with the files”- Reassess evidence. Select files and click Reassess evidence. Max reads them against the maturity model and proposes evidence notes, each citing the page or slide it came from. You confirm the changes.
- Answer questions. In the chat, Max reads project files and organization materials when a question needs them.
- Draft the organization profile. See Set up your organization.
Office documents are read as PDF, so slides and layout survive. Wiki pages are read as text. Linked files open at the provider, with Open in …; uploaded files open in Scale Platform’s own viewer.
What Max records about each file
Section titled “What Max records about each file”Shortly after a file is added, uploaded or linked, Max reads it and records a short classification. It notes the kind of document, the dates it covers, its language and length, what it is evidence for, and what it is for, in one line. A spinner next to the file name shows while this runs. It finishes on its own while you are signed in, and resumes the next time you open Scale Platform. Max uses the classification to pick the right document for a question, and to date a document by what it says rather than by when it was added.
To see it, open the ⋮ menu on the file’s row and choose Details. The first line is the kind and date, for example Meeting notes · 7 Aug 2025; a document with no date of its own reads undated.
Max only knows what the document says. When it gets something wrong, or the document leaves something out, tell it:

In Details, click Add guidance….

Under Anything Max should know?, write the missing context, for example the meeting date or the customer the document is about. Up to 500 characters.

Click Save and re-analyze. The note stays with the file and Max reads it on every later reading. Edit guidance… changes it.
Re-analyze alone makes Max read the file again without a note. If Details says Max could not read the document, try Re-analyze. When that button is missing, the file is too large, of an unsupported type, or would not open, and a different file is the only fix.

Disconnect
Section titled “Disconnect”Under Profile › Connected accounts, click Disconnect next to the provider. Everything you linked, in every project, stops syncing until you reconnect. Your files stay where they are; Max just loses access.
